One of the world's largest manufacturers of laminating systems is launching a Europe-wide marketing campaign. This means that product information, advertising materials and operating instructions have to be translated into English, French, Italian, Spanish, Portuguese, Norwegian, Swedish and Danish. All the texts are to be distributed at the same time, so as to guarantee an effective marketing strategy over as wide an area as possible. There are a total of just 8 weeks available in which to translate approx. 600 pages per language.
The project coordinator establishes a schedule and budget, and develops a plan together with the customer to ensure that a translation meeting the highest quality standards can be carried out in the necessary time span. Amongst other things this means establishing a correct terminology for all the languages, clarifying a wide variety of file formats and font types, consultation with other service providers involved (e.g. advertising agencies) which also form an integral part of the entire production process.
An exact time schedule is drawn up for all the languages. The language coordinators put together the translation teams, which consist of 3-4 specialist translators. An English terminology database is set up from the previous translations for the customer and translated into the languages required. As a large proportion of the documents have to be delivered in QuarkXPress and PageMaker format, sufficient capacity has to be reserved in the production department.
At the beginning of February all the documents to be translated are sent to LÓPEZ-EBRI®: if possible by e-mail, and larger documents by ISDN. The project coordinator prepares copies for all the languages and passes these on to the language departments together with the corresponding terminology databases. Exactly according to plan, the completed translations are sent to the production department for DTP preparation. After being released by LÓPEZ-EBRI®, the translated texts are sent out to the customer's foreign branches for checking.
26 translators, 1 IT expert, 1 project coordinator, 4 team assistants, 10 skilled workers in the production department and 1 QM specialist are involved in the project. In total 43 individuals.
After approval by the customer's foreign branches all the documents are submitted to a final check at LÓPEZ-EBRI®. The QM department checks whether all the customer's specifications have been adhered to exactly, and releases the translations for delivery. The text is sent out by e-mail, on the exact date specified and in the required file format. All the documents are archived at LÓPEZ-EBRI® for possible future updating.
