The bank of one of the world's largest automobile makers advises LÓPEZ-EBRI that it wishes to have its next annual report translated into English. Besides this annual report of approx. 70 pages, four further reports must be translated for smaller individual companies belonging to the group, these amounting to 80 pages in total.
The problem: As the reports are to be distributed worldwide in both German and English at the same time, there are only 6 days in which to translate the approved German version into English.
The project coordinator at LÓPEZ-EBRI establishes a schedule and budget, and develops a plan together with the customer to ensure that a translation meeting the highest quality standards can be carried out in the necessary time span. An essential element in the planning also involves setting up a terminology database 2 months in advance: The translations of previous annual reports are to be incorporated into the LÓPEZ-EBRI databases and the relevant terminology agreed on with the customer.
In late autumn, the project coordinator at LÓPEZ-EBRI already draws up an exact time plan for the translation and production departments, based on the customer's specifications. From then until the end of December all the relevant data is prepared and the terminology agreed on with the customer. The capacity required for the project in the translation and production departments is then reserved in advance for the 2nd half of February by the project coordinator.
First of all, LÓPEZ-EBRI receives the preliminary, as yet unapproved, versions of the annual reports by e-mail in Winword format. A preliminary translation is produced by the English department in a period of around 4 weeks. The project coordinator and customer agree on any necessary changes to terminology. The approved German version is received by fax at LÓPEZ-EBRI on 15th February. The final translation is completed at LÓPEZ-EBRI in only 6 working days, a process in which 150 pages of very complex text are translated and submitted to the three stages of correction forming part of the LÓPEZ-EBRI QM system conforming to DIN EN ISO 9001:2000.
The QM department checks whether all the customer's specifications have been adhered to exactly, and releases the translations for delivery. The text is sent out by e-mail, on the exact date specified and in the required file format. The initial dates for translating the reports for the following year are established.
